Booking Terms

How your request becomes a booking, and what you can expect from us along the way.

Version 1.0Effective 6 October 2026Barbados

Your booking

Sending us a booking request doesn’t automatically reserve your date. Once we receive it, we’ll check availability, timing, equipment and anything else needed to create your experience.

If something isn’t available exactly as requested, we may suggest another date, time or setup rather than simply turning the booking away.

Your booking is confirmed once you have accepted your Quote and we have verified the minimum payment shown on your Invoice. Unless we agree otherwise, that minimum is 50% of your total booking cost.

Choosing a payment method or telling us that payment has been sent doesn’t count as payment until we can verify it.

Your Quote

Your Quote shows what is included in your experience and what you’re paying for. Items marked Included in package are already covered by the package price. Paid add-ons are shown separately.

If we revise your Quote, the newest accepted version becomes the one we work from. Earlier versions may remain in your booking history. Prices are in Barbados dollars (BBD) unless we tell you otherwise.

Your experience time

Your experience runs for the duration shown on your booking. Setup and pack-down happen outside your booked experience time.

If you arrive late, we’ll still do our best to give you a great experience, but your finishing time doesn’t automatically move later. If extending the booking is possible, an extra-hour charge may apply. If a delay is caused by us, we’ll work with you to make things right.

Changes to your booking

Plans change. If you need to adjust your date, time, location, package, guest count, styling or add-ons, let us know as early as you can. Changes are subject to availability and may affect the final price. We’ll tell you before a requested change creates an additional cost.

Your venue

If your experience is happening somewhere we don’t own or control, you’re responsible for making sure we have permission to be there and enough access to set up and remove our equipment.

Please tell us in advance about stairs, difficult parking, security restrictions, uneven ground or anything else that could affect setup. We may refuse or adjust a setup if we reasonably believe the location is unsafe.

Outdoor experiences and weather

Barbados weather occasionally has plans of its own.

For outdoor bookings, safety comes first. If rain, lightning, strong winds, flooding, unstable ground or another condition makes the setup unsafe, we may need to adjust the timing, move the experience, reschedule it or, if necessary, cancel it.

Where possible, we’ll work through those options with you rather than jumping straight to cancellation. Our Cancellation, Rescheduling & Weather Policy explains what happens financially.

Package items and substitutions

We’ll make every reasonable effort to provide the items and styling shown in your accepted Quote. If an individual décor item, flower, furnishing or accessory becomes unavailable or unusable, we may offer a comparable replacement that keeps the overall look, quality and value of your experience intact.

If a substitution would noticeably change the experience you booked, we’ll speak with you first whenever reasonably possible.

Looking after our equipment

Normal use and normal wear are expected. If equipment is lost or damaged because of deliberate, reckless or negligent behaviour by you or one of your guests, we may charge the reasonable cost of repair or replacement.

We won’t charge you for normal wear, equipment failure, existing damage or something caused by us. The same principle applies to unusually heavy cleaning that goes well beyond what would normally be expected after an event.

Photos and privacy

Booking with us does not automatically give us permission to use identifiable photos or videos of you or your guests for advertising. If we’d like to use identifiable customer content for marketing, we’ll ask separately.

We may photograph an empty completed setup for our portfolio where doing so doesn’t reveal private customer information or violate venue rules.

If something goes wrong

Tell us as soon as possible if something isn’t right. We’d much rather have the chance to fix a problem than have you leave unhappy without telling us.

These terms don’t take away any rights you have under Barbados law.

Electronic acceptance

You can accept Quotes and manage parts of your booking online. When you accept a Quote, we keep a record of the Quote you accepted, the version of these terms that applied, and the date and time of acceptance. That gives both you and us a clear record of what was agreed.

Barbados law

Bookings with The Dome Experience are governed by the laws of Barbados. Nothing in these terms is intended to take away a customer right that Barbados law says cannot be taken away.
